The template covers the client's business background, the specific project or engagement goals, current challenges they're trying to solve, past attempts at addressing the issue, success criteria, key stakeholders, timeline and budget context, and any constraints or preferences that will shape the work.
The more specifically a client can describe what they need, the more specifically you can deliver it. A good questionnaire surfaces the information that moves the engagement forward from the first meeting.
After the initial contact or proposal acceptance, before the kickoff meeting. This gives the client time to answer thoughtfully and gives you time to review and prepare more specific questions for the call.
Specific, open-ended questions about current challenges, past attempts, and success criteria. 'What would a successful outcome look like in 6 months?' is more revealing than 'What are your goals?'
15 to 30 minutes for most professional services engagements. Shorter for transactional work. Clients who invest time in the questionnaire are usually more engaged throughout the project.
Use a consistent structure with core questions, but customize based on the service type and what you already know about the client. A cold new client needs more background questions than a returning client whose context you already know.
Read them thoroughly before the kickoff. Reference specific answers during the meeting to show you read carefully. Update your project brief or scope document to reflect what you learned.
