A rental application only tells you what an applicant wants you to know. A rental history verification goes a step further — it contacts previous landlords directly to confirm the details and get candid feedback before you hand over the keys.
This form captures the applicant's name and the property address in question, then asks the previous landlord to confirm tenancy dates, the monthly rent amount, whether payments were made on time, how much notice was given before moving out, and whether they'd rent to this person again. The final question is often the most telling.
Send the form via email to the landlords listed on the application. Responses come back digitally and are stored in one place, so you can compare verification results across multiple properties without managing a stack of phone call notes.
Credit scores and income documents tell part of the story. Previous landlords tell you how the applicant actually behaves as a tenant — whether they pay on time, report maintenance issues appropriately, and leave a property in good condition.
Set a response deadline in your email and follow up once. If there's no response after reasonable attempts, note it in your records. An unresponsive landlord isn't necessarily a red flag, but it's worth factoring into your decision alongside other information.
Yes. The core fields apply to both. For commercial tenants, you may want to add a question about the nature of the tenancy — whether the space was maintained in good working order and whether any disputes arose during the lease.
The form is designed to collect tenancy-related information only. You're responsible for ensuring your verification process is applied consistently to all applicants and doesn't request information that could lead to discriminatory outcomes under fair housing regulations in your jurisdiction.
At minimum, contact the most recent landlord. For applicants with shorter tenancy histories or no current landlord, going back 2–3 rentals gives you a more complete picture. The form is quick enough that reaching out to multiple landlords doesn't add significant overhead.
