Put a complete beginner in an advanced workshop session and you either slow the whole group down to bring them along, or lose them by the first exercise—and neither is what anyone paid for. Typeform's workshop application form asks what experience level people are actually at, so you build a room that can move at one pace.

Applicants describe their experience, what they want out of the day, and what they'll bring with them. Someone applying to a beginner session answers about what drew them to it and whether they have the basic equipment, while an applicant for an advanced session describes the work they've already done and what they want to push further.

Every application tells you where an applicant is starting from and what they came for. You teach a group that's ready for the same material, and the person who wasn't ready gets pointed toward an alternative session where they would be ready, instead of sitting through one they can't follow or keep up with.

A workshop application form is an online form people fill in to apply for a place in a workshop. It collects their prior experience, what they want to get out of the session, any prerequisites they meet, and the equipment or materials they'll bring. Workshop leaders and studios use workshop application forms to fill a session with people at a similar level.

Without a workshop application form, you sell tickets and discover the range of experience in the room when people walk in. One person has never touched the tools and another has been doing this for six years, and the session you planned for, fits neither of them. A workshop application form asks about experience before you confirm a place, so the room you teach is the room you prepared for.

Capture what determines the fit:

  • Prior experience and skill level
  • What they want from the workshop
  • Any prerequisites they meet
  • Equipment or materials they'll bring
  • Availability for the session dates

Point them toward the session where they would fit. Someone too new for an advanced class is usually a strong candidate for the next beginner one. Set a custom Ending that tells them which session to look at, or follow up with the dates, so even a “no” still turns into a booking.

Short enough that people finish it, but long enough to tell experience levels apart. For a one-day workshop, that can look like about five or six questions: what they've done, what they want out of it, and whether they meet the prerequisites. Push past that and you may lose applicants who would have been right for the workshop.
